

Machines and Me – Event Terms and Conditions

Organiser: Machines and Me (“we”, “us”, “our”)
By purchasing a ticket and/or attending the event, you agree to these Terms and Conditions.
1. Tickets and entry
1.1 Tickets are required for entry and must be purchased via our authorised ticketing channels only.
1.2 Tickets are valid only for the specified event date/time and are non-refundable except as set out in Section 4.
1.3 We may refuse entry or remove attendees for reasons including safety, disruptive behaviour, or breach of these Terms, without refund.
1.4 Resale for profit or unauthorised distribution of tickets is not permitted.
1.5 If the venue has age restrictions, those apply. If under 18s are permitted, they must be accompanied by an adult unless we explicitly state otherwise.
2. Pricing and payment
2.1 Ticket prices are displayed at the point of purchase and may include or exclude third-party booking fees depending on the platform.
2.2 Payment is taken at the time of purchase. Your booking is confirmed once payment is successful and you receive confirmation from the ticketing platform.
3. Event changes
3.1 We may make reasonable changes to the event format, agenda, speakers, timing, or content where necessary.
3.2 If we make a material change (for example a significant date/time change), we will notify ticket holders using the contact details provided at purchase.
4. Refunds, cancellations, and transfers
4.1 If you cancel:

4.2 Ticket transfers: You may transfer your ticket to someone else should you be unable to attend. The replacement attendee must agree to these Terms.
4.3 If we cancel: If we cancel the event, you will receive a refund of the ticket price paid and any booking fee's.
4.4 If the event is postponed: You may choose to keep your ticket for the new date or request a refund if you cannot attend.
4.5 Your statutory rights as a consumer are not affected.
5. Code of conduct
5.1 We want a welcoming environment. You agree to behave respectfully towards other attendees and organisers.
5.2 Harassment, discrimination, threatening behaviour, or repeated disruption will result in removal from the event without refund.
6. Photography, recording, and device use
6.1 Unless we explicitly state that recording is permitted, you may not record audio or video of the session content without our prior written consent.
6.2 We may take photographs during the event for promotional purposes. We will provide a simple opt-out method on the day (for example a sticker or a no-photo area) and will respect reasonable requests.
6.3 Please keep phone/laptop use considerate during group discussion.
7. Materials and intellectual property
7.1 All presentation materials, handouts, templates, and content provided by us are our intellectual property (or licensed to us).
7.2 You may use materials for personal learning and internal use. You may not copy, distribute, sell, publish, or create derivative training content from them without our written permission.
8. AI tools, confidentiality, and safe use
8.1 Parts of the session may involve using third-party AI tools. You are responsible for your own accounts and usage.
8.2 Do not share sensitive personal data, confidential employer/client information, or regulated data in any public or third-party tool during exercises.
8.3 We do not guarantee the accuracy of outputs from third-party AI tools. You agree to verify outputs before relying on them.
9. Health, safety, and personal property
9.1 You agree to follow venue safety instructions, fire procedures, and organiser guidance.
9.2 You attend at your own risk. Please take care with cables, hot drinks, and personal belongings.
9.3 We are not responsible for loss, theft, or damage to personal property unless caused by our negligence.
10. Liability and indemnity
10.1 The event is educational. We do not provide legal, medical, financial, or HR policy advice.
10.2 Nothing in these Terms limits or excludes our liability for death or personal injury caused by our negligence, fraud, or any liability that cannot be excluded under UK law.
10.3 Subject to 10.2, our total liability to you for any claim arising out of or in connection with the event (whether in contract, tort, or otherwise) is limited to the ticket price you paid.
10.4 Subject to 10.2, we are not liable for indirect or consequential losses (for example loss of profits, loss of business, or loss of opportunity).
10.5 Your indemnity: You agree to indemnify us against reasonable losses, damages, or costs arising from your breach of these Terms, your unlawful acts, or your misuse of the event materials.
11. Insurance (professional indemnity and public liability)
11.1 We maintain public liability insurance and professional indemnity insurance appropriate for running training events.
11.2 Our insurance does not cover your personal property, your own actions, or your use of third-party tools.
11.3 If you require evidence of cover for corporate attendance, contact us at info@machinesandme.com and we will provide details where appropriate.
12. Data protection and privacy
12.1 Who is the controller: [Full legal entity name] is the data controller for personal data collected by us.
12.2 What we collect: name, email address, booking details, attendance status, and any feedback you submit.
12.3 Why we collect it: to administer your booking, provide event information, deliver the session, respond to queries, and improve future events.
12.4 Lawful bases: performance of contract (event delivery), legitimate interests (service improvement), and consent where required (marketing).
12.5 Marketing: we will only send marketing emails if you opt in, and you can unsubscribe at any time.
12.6 Sharing: booking platforms (for example Eventbrite) may process your data as part of providing ticketing services. We also use email and analytics providers where relevant.
12.7 Retention: we keep booking records for as long as necessary for operational, accounting, and legal reasons, typically [X months/years].
12.8 Your rights: you may request access, correction, deletion, restriction, portability, or object to processing, subject to legal limits.

13. Cookies

14. Force majeure
We are not liable for failure to perform where prevented by events beyond our reasonable control (for example extreme weather, venue closure, transport disruption, power outages, illness of key presenters, or other emergencies). Where possible we will reschedule or provide refunds in line with Section 4.

16. Governing law
These Terms are governed by the laws of England and Wales, and the courts of England and Wales have exclusive jurisdiction.
